How do I safely delete an user?

How do I delete or deactivate an user safety without losing any information?

You can deactivate or delete an user. Below you will find the instructions how to delete or deactivate an user without losing information. You need to have the Administrator rights.

Deactivate an user

You can deactivate an user when someone does not often use his/her SRXP account. You can do so by going to Admin --> User management --> Select the user --> Actions --> Deactivate

It is important to know that an user with the Administrator or Billing rights can not be deactivated.

Please take the following steps:

  • Make sure the user has another right next to the Administrator right (you can always select Exporter right safely)
  • Unselect Billing Administrator right if it's selected
  • Unselect Administrator right (only possible if the Billing Administrator rights are unselected and the user has one other right)
  • Now you can deactivate the user!

All the expenses of the user you would like to deactivate need to have the status 'Submitted' before you deactivate the user. The approver can still approve the expenses when the user is deactivated.

Delete an user

You can delete an user when someone does not use his/her SRXP account. You can do so by going to Admin --> User management --> Users

All the expenses of the user you would like to delete need to have the status 'Processed' before you delete the user to make sure the information is stored for 10 years in SRXP. All expenses that not have the status 'Processed' will be deleted

It is important to know that an user with the Administrator or Billing rights can not be deleted.

Please take the following steps:
