How do I process a credit card withdrawal?

If a submitter does a cash withdrawal from the credit card, how woul they process this?

Withdrawals with the credit card can be processed in SRXP. Keep in mind that the remaining cash from the withdrawal can not be processed via SRXP. This must be booked as a negative booking or the money must be returned by the employee. You can not take the money to a new report.

There are several ways to justify withdrawals.

Option 1:

  • One way to justify a recording within SRXP is to create a payment method in SRXP with the reimbursement type: 'to pay'.
  • If there is a withdrawal on the credit card, the receipt of the withdrawal will be added and the payment method 'Credit card withdrawal' can be added to this.
  • The expenses that are done with the cash from the withdrawal are collected in the same report and get a payment method with the reimbursement type 'To receive':
  • As you can see, there is an amount of EUR 200.00 in the total amount of the report. Click on 'amount details' to view the details of the report. Scroll down to see the result:

The final 'To be received' amount for the submitter is € 0.00. The two payment methods cancel each other out.

If it happens that the submitter spends less than the withdrawal was, then it is up to you how this is processed. This must be booked as a negative booking or the money must be returned by the employee to the company. You can not take the money to a new report.

Note: This ensures that the total amount does not match the statement. Is this not desirable? Then apply the following situation.

Option 2:

  • One way to justify a withdrawal within SRXP is to create a payment method in SRXP with the fee type: 'To pay.
  • If there is a withdrawal on the credit card, the receipt of the withdrawal is added to the report.
  • Then the submitter creates a new report with the title 'Withdrawal'
  • The submitter adds a line with a photo of the receipt of the withdrawal (same receipt used in the credit card form) and adds the new payment method (credit card withdrawal).
  • The expenses that are done with the cash from the withdrawal are collected in the same report and receive a payment method with the reimbursement type 'To receive':

The final 'To be received' or 'To be paid' amount for the submitter is 10.00 EUR. The two payment methods cancel each other out.

The submitter will immediately see if too much / or too little has been spent.
